**If uploading fees is something that you have not done before, we suggested reaching out to us via support@ccube.com.au so that we can walk you through this process**
- Navigate to Settings > Client Fee > Batch Import > Download a copy of the import template
It is important that you do not change the order or title of the column headings in the template, but simply insert your data as well as formatting this in-line with the below rules.
Fee Type Categories
- Put your data into the template as you feel it is appropriate to enter
- Make sure the type of fee is either Ongoing or Upfront
- Make sure the fee type fits into one of the 6 SubType Categories

Before Uploading Checklist
Before uploading to CCUBE, complete the Formatting Checklist:
- Give filters to the spreadsheet headings (first row) and check that there are no “blank” or “#N/A” cells in any of the columns.
- Format the data within the ClientName, ProductName, AdviserName, Source, TypeOfFee, FeeType, Description and PracticeName columns to Text.
- Format the AccountNumber data to Numbers with no decimals.
- Check the FeeDate data lies within the expected date range (i.e. not today’s date).
- Format the FeeDate data to 'Custom' > edit this to be dd/mm/yyyy
- Format the data within the Amount, NetAmount and GST columns to Numbers with 2 decimals.
- Highlight the first row and change the format to ‘Text’.
Once all the formatting is done, click Save
Save the file as a .CSV
You MAY get a pop up asking if you want to save the active sheet or if you want to save under a different file. You can proceed to Save the active sheet with CSV.
Close the saved spreadsheet file and you are now ready to upload to CCUBE.
Uploading Fees File
1. Navigate to Settings
2. Client fee > Batch import
3. Click the blue “Browse” button to select the file to be uploaded
4. Click Submit
You'll get a pop-up message stating that it was either uploaded successfully, or if an error occurred.
NOTE: if you need to upload the file again, change the name of the file which will help with the upload.
Post-Uploading Checklist
- Navigate to Settings > Client Fees > Mapping Screen
- Filter by the Batch ID for the upload you have just completed > Select the most recent batch and click “apply filters”, so you are only seeing fees that you have uploaded
- Check that the Type of Fee and Sub Type are not blank
- Check the fee date has not defaulted to today's date
- Check the account numbers for “+” and “0000” which indicates that the account numbers have been entered with scientific notation
- Check account numbers for .00
Mapping Fees
- Navigate to Settings > Client Fees > Mapping Screen
- Filter by the Batch ID for the upload you have just completed > Select the most recent batch > Select Mapping Status: UNMAPPED and click “Show”, so you are only seeing fees that you have uploaded
- You will then need to map the unmapped fees below
- Begin typing a client's name under the Select Client heading > Select the client > tick the actions box > Map Records
